Basic FunctionRecommends and participates in the formulation of new policies and makes decisions in conformance with existing policies as they have been approved by the Board of Directors. Plans, organizes, directs, and coordinates the staff, programs, and activities of the Association to assure that objectives are attained, plans fulfilled, and member needs met as directed by the Board of Directors. Maintains effective internal and external relationships. Through management and administrative leadership, achieves economical, productive performance, forward looking programming and constructive growth of the Association and the Multiple Listing Service.
Duties, Responsibilities, and AuthorityWithin the limits of the Bylaws, and Association policies, the Executive Officer is responsible for and has authority to accomplish the duties set forth below.
1. Assures that the Directors and Officers are kept fully informed of the conditions of the Association and Multiple Listing Service on all important factors influencing them. Attends meetings of the Directors, committees, and regular Association meetings as requested by the Directors. 2. Executes all policy decisions of the Directors. 3. Develops specific procedures and programs for the purpose of administration and implementation of the policies established by the Directors. 4. Maintains accurate records on members, affiliates, state and local associations, archival data, and any other necessary information. 5. Assists, when requested, with preparation of regular and special Association programs – which may include attending after hour functions and events. 6. Participates with President and Directors in outlining annual programs of Association activities. 7. Assists President in appointing all necessary committees. Determines status of committee activity and informs the President if the committee needs assistance. The President is to ascertain that chairpersons are accomplishing their assignments. 8. Assists Directors and Officers as necessary. 9. Works with the Grievance and Professional Standards Committees to assist in the enforcement of the Code of Ethics and to insure that due process is afforded through the proper procedures. 10. Handles all incoming and outgoing Association correspondence. 11. Promotes interest and active participation in the Association’s activities by the membership. 12. Assists Officers and Directors in establishing the Association and MLS budgets and operates within those budgets. 13. Collects dues for the Association and MLS and keeps accurate membership records. 14. Performs secretarial duties for the Association and MLS including taking minutes of all meetings unless otherwise directed. 15. Carries out such other general responsibilities as may be delegated by the Officers and Directors. 16. Maintains effective relationships with other organizations and sees that the position of the Association and its members is enhanced in accordance with the policies and objectives of the Association. 17. Requires some travel with occasional overnight trips. Must be able to travel and attend seminars and training as directed by the Board of Directors, which may include the Association Executives Institute sponsored by the NATIONAL ASSOCIATION OF REALTORS®. Will provide written or verbal report to Directors on all seminars and training as requested. 18. Handles telephone inquiries and maintains a rapport with members. 19. Responds to requests for information from members of the public.
RelationshipsThe Executive Officer is responsible to the Directors for the administration of the Association, for the fulfillment of all functions, responsibilities and relationships.
The Executive Officer makes recommendations for changes in policy and methods of operation where needed to conform to Association Bylaws and MLS Rules and Regulations. Any observation of violation or lack of compliance will be called to the attention of the Board of Directors.
The Executive Officer does not have signing authority for the Association and MLS accounts. Those who do have authority to sign on behalf of the Association are: The President, Vice-President/President Elect and/or the Secretary/Treasurer (Two signatures are required on all checks).
The Executive Officer sees to the implementation of and update of NAR & IAR programs and services.
The Executive Officer works closely with IAR and NAR and other Boards/Associations in the State and provides data in response to inquiries. The Executive Officer may make recommendations for recruiting, hiring, motivating, and directing the duties of the Association and MLS staff. The Executive Officer may make recommendations for the promotion and termination of staff, and to assist in establishing rates of compensation subject to the approval of the Board of Directors.
